Voiding A/P Bills

Q. In MaxxTraxx, I’d like to know how to void A/P bills I just entered. Not restock invoices, but those added through Enter Bills.

Answer:

To void or delete Vendor bills that were not entered through Restock, click on Vendors, Accounts Payable Vendor List, choose the Vendor. Click on Options then View A/P Transactions. Highlight and void the one you need to remove.

Accounts Receivable Discounting

Q. We have a customer that pays their bills and takes a 3% discount. How do we apply that when paying their invoices?

Answer:

To apply a discount taken by a customer or to handle a short payment that you don't plan to collect, you’ll need to manually create a credit memo for the discount amount. This will create a credit available to be applied when paying the invoice(s).

Missing A/R Invoice

Q. I am sending out statements and there is an invoice that is not showing up, why?

Answer:

What we typically find if an invoice isn't showing on the statement is that the invoice may have already been paid or credits may have been applied. To look for this, Go to the Customer record, click Customer Options, View A/R Transactions and search for the invoice. The first screen you see will only show Open Invoices so you'll need to click the Date options to broaden the date range.

If you don't find the Invoices listed or paid, you will need to contact Technical Support to help locate the invoice. You'll want to double check that the Invoice isn't still open on the Schedule.

General Ledger Balances are Incorrect

Q. My Balance Sheet and Accounts Payable are off?

Answer:

It's possible that there may be a Vendor Invoice that is incorrectly dated. Try to search transactions for dates outside of the current year. To do this, under Reports, choose General Ledger, then Transaction Report. Search for oddball dates. Old dates such as 1931 or future dates like 2025. Transactions would show in the Accounts Payable total but if incorrectly dated, would not show in the current Balance Sheet.

Undeposited Funds

Q. I have a large sum of money sitting in my undeposited funds account but there are no items to check. How do I find what they are?

Answer:

First you need to find where the payments came from; that they are not showing up on the list means they were most likely cash payments. All cash payments show up in the "Cash Available" at the bottom right in Make a Deposit. You can either browse the Undeposited Funds account to locate the payments or run a Daily Summary Cash Drawer report for the detail.
